Note for clients: We treat all patient data submitted as part of case files as strictly confidential. We do not use patient data for any purpose other than the delivery of the services you have commissioned.

  • Your name, professional title, and practice or lab name
  • Your email address, phone number, and WhatsApp contact
  • Your billing address and payment details (processed securely)
  • Your professional credentials where provided

2.2 Case Submission Data

When you submit a case through our portal, we collect:

  • STL files, DICOM data, photographs, and bite records you upload
  • Clinical prescription information and case instructions
  • Patient identifiers as provided by you (we recommend anonymised IDs)
  • Communications and notes exchanged in the case thread

2.3 Usage Data

We automatically collect certain data when you use our website or portal:

  • IP address, browser type, and device information
  • Pages visited, time spent, and navigation patterns
  • Portal actions: case submissions, approvals, downloads

4.1 Internal Team

Your case data is accessible only to the Shark Smile team members assigned to your case, treatment planners, QC reviewers, and manufacturing staff, on a strict need-to-know basis.

4.2 Service Providers

We work with trusted third-party providers to operate our services, including:

  • Secure cloud storage providers for case file storage
  • Payment processors for billing and invoicing
  • Courier services (DHL, FedEx, UPS) for physical aligner delivery, limited to delivery address only
  • Portal infrastructure providers

All service providers are required to maintain the confidentiality of information shared with them and to use it only for the purposes for which it was disclosed.

We may disclose information where required to do so by law, court order, or regulatory authority.

All case files, personal data, and communications are stored on secure, encrypted servers. We implement appropriate technical and organisational measures to protect your information against unauthorised access, loss, or disclosure, including:

  • Encrypted data transmission (HTTPS/TLS) across all portal and web interactions
  • Access controls limiting data visibility to authorised personnel only
  • Regular security reviews of our infrastructure and practices
  • Secure deletion of files when they are no longer required

While we take every reasonable precaution, no method of internet transmission or electronic storage is 100% secure. We encourage clients to use anonymised patient identifiers when submitting cases wherever their practice protocols require it.

We retain your personal information and case data for as long as your account is active or as necessary to provide our services. Specifically:

Active casesRetained for the duration of the case and a reasonable period after completion to allow for revisions or queries.
Account dataRetained for the duration of your account and for a period thereafter as required by applicable law.
Billing recordsRetained for the period required by applicable tax and financial regulations.
Deleted accountsPersonal data is removed or anonymised within a reasonable period following account closure, except where retention is required by law.
